STAEDEAN introduces Equipment Rental IQ, a rental intelligence platform built on Microsoft Azure and Microsoft Fabric that brings together data from across rental operations to support better decisions on equipment availability, utilization, and demand.

Amsterdam, The Netherlands, October 2026 — STAEDEAN has launched Equipment Rental IQ, a new rental intelligence platform for equipment rental companies.

Rental ERP systems manage core rental operations, including contracts, equipment, movements, and invoicing. However, decisions about equipment allocation, transfers, sub-rental, and investment often require information from other business systems, including CRM, telematics, service platforms, and spreadsheets. Bringing this information together can require significant manual effort, particularly when teams need to respond quickly to changing rental requirements.

Equipment Rental IQ works alongside the rental ERP rather than inside it. Its Unified Rental Data Model brings information from different sources together using consistent rental definitions, providing a foundation for rental KPIs, Power BI dashboards, natural-language questions, and AI agents.

From rental data to rental intelligence

Equipment Rental IQ is a central rental intelligence platform that combines operational ERP information with data from other business systems. Built on Microsoft Azure and Microsoft Fabric, its Unified Rental Data Model uses consistent definitions for contracts, rental types, equipment, locations, customers, and utilization.

The platform provides out-of-the-box connections to STAEDEAN Equipment Rental ERP and CRM, and Microsoft Rental Management in Dynamics 365 Finance & Supply Chain Management. Additional sources, including telematics, service and finance systems, other ERPs, and external data, can be connected and configured based on business requirements.

Through standard rental KPIs and Power BI dashboards, teams can monitor utilization, revenue, sub-rental, service, billing, and equipment performance. They can drill down from rental types to equipment groups and individual machines, ask questions in natural language using the Microsoft Fabric data agent (in public preview), and extend reporting with their own KPIs and measures.

This helps rental teams address important operational and commercial questions, including:

  • How effectively is our fleet being utilized?
Review utilization alongside connected telematics and demand information to identify underused equipment and opportunities to improve deployment.

  • Can we meet the next customer request?
Assess equipment availability across locations, reservations, and planned returns to make more reliable customer commitments.

  • Should we transfer, sub-rent, or purchase equipment?
Bring together utilization, location, demand, and cost information to inform equipment allocation and investment decisions.

  • Where is demand heading?
Review confirmed orders alongside quotes and CRM opportunities to identify emerging demand and plan future equipment needs.

What are the benefits of Equipment Rental IQ?

AI agents for rental decisions

Equipment Rental IQ supports AI agents built on the Unified Rental Data Model and STAEDEAN's rental industry experience.

The Equipment Availability Agent, available in public preview, helps rental teams assess whether requested equipment can be supplied for a specific location and rental period. Users describe their requirements in natural language, and the agent checks availability across locations, reservations, and planned returns.

When a request cannot be met, the agent recommends suitable alternative equipment, equipment at another location, or a different rental period, prioritizing equipment the company already owns. The rental team reviews the recommendation and decides how to proceed.

For example, a customer requests three compact excavators in Rotterdam for a four-week rental. Two are available locally, but the third is reserved for part of the requested period. The Equipment Availability Agent identifies the conflict and suggests a suitable excavator at another location, giving the rental team an alternative to assess before arranging an external sub-rental.

Illustrative scenario based on rental ERP data.

Further rental agents are in private preview with rental operators.
