How to control and protect your data by using security roles

Data management has become a necessity in every business, but it has become and will continue to grow more complex. Companies are gathering and registering more and more data, but how can you ensure to shield data from people who shouldn’t be able to see it? This is where security roles come into play.

Within every business, employees have certain roles and duties within their work. Based on these roles and duties, certain data should be available and other data should be hidden. Within Dynamics, you can create security roles, duties, and privileges for every part of the system. Using these functionalities, you can limit access to records within Dynamics as well as “properties” that restrict changes to the record.

Using the roles and duties functionality, you can create a complete hierarchy that reflects your organization chart. Each level can have its own layer of security and access rights to reflect the responsibilities each person has. Using this hierarchy, you can restrict employees from making amendments to records from departments they shouldn’t be able to. Furthermore, modules within Dynamics can be hidden from employees from different departments or certain functions, and/or their form can look different for various security roles.

Also, you can restrict reporting capabilities using data management and these security roles and duties. One employee can have a different report if he or she has a different role with more privileges than another employee. These role- and duty-driven reports can encompass multiple legal entities if needed, and functionality between them restricted. As a result, employees will not be able to switch legal entities.
